Executive Assistant

You are:
  • Energized by relationships, invigorated by efficient processes, and excellent at follow-up and follow-through
  • Trustworthy with confidential information and able to maintain a high level of personal and professional integrity
  • Able to connect effectively with senior executives via email, phone, and video conference meetings
  • Comfortable and confident in regular video conference meetings with senior executives
  • Incredibly organized and efficient with personal time management
  • Logical and analytical – able to break complex projects down into a series of steps
  • Known for your exceptional communication and interpersonal skills
  • Naturally self-motivated and able to work independently and in a collaborative team environment
You will be:
  • Managing day-to-day client requests ranging from simple to complex
  • Managing and prioritizing several projects at once to ensure quality delivery
  • Spending your day on a wide variety of administrative tasks related to client projects including reports and reviewing documents with a sharp eye for detail
  • Working in a variety of software packages including: Microsoft Excel, PowerPoint, and Word
  • Supporting Client Account Executive with meeting coordination, scheduling, and administrative tasks
  • Supporting the team to create and maintain project plans
  • Documenting client and internal meeting notes and following up on action items
  • Answer and route inbound calls from the front desk or client support number
  • Manage updates and maintain information in phone system
  • Provide assistance and support to back-office sales administrative tasks including preparing demo meetings, creating marketing lists, refreshing sales materials, maintaining Salesforce.com, creating proposals and contracts, and more.
  • Assisting in the editing and refinement of PowerPoint presentations for executive-level audiences
  • We are hiring for two Executive Assistant positions both of which report directly to our President who also serves as a Client Account Executive in a very active role interacting with our clients' executive teams. One position will be interacting with potential clients and one will be interacting with existing clients.
  • Working in a growing and fast-paced office environment (currently this is a work-from-home position due to the pandemic)
  • Located close enough to Cave Creek, AZ to be in the office after a short commute as part of a collaborative team when needed
  • Working a Monday-Friday shift from 7am - 4pm

Job Type: Full-time
Salary: $45,000- $55,000 / year depending on experience
