Privacy Policy Regarding Beyond Feedback's Hosted Survey and Reporting Tools
Introduction
This notice addresses the privacy of data that Beyond Feedback collects on behalf of its clients as part of its survey and reporting software platform. Beyond Feedback uses the platform to collect feedback from its clients’ customers or employees about interactions they have had with its clients. Beyond Feedback uses a reporting software platform to report the findings back to the client to help them identify improvements in the customer or employee experience.
How surveys are initiated
Beyond Feedback initiates surveys according to our clients’ instructions. The questions that are asked, the method the survey is deployed, how often the reminders go out, and who they ask are all examples of the level of control that the client has over the survey. Each client provides instructions with regard to the upload, collection, transfer, and access of personal data and is responsible for the legal basis they have for acquiring and processing the data. The contact information to initiate the survey is owned and controlled by the client and protected by nondisclosure agreements in place between Beyond Feedback and each client. What personal information is collected
Voluntarily by you - The survey tool is designed to guide you to fill out information voluntarily. Only information that you enter into the tool will be used. If you stop entering information part way through the survey, the information that you voluntarily entered may be used as a response.
Automatically by the survey tool – The survey tool captures the time and date of your response as well as the type of browser your system is using.
Passed to us from the client – The client had originally provided information to us so we could contact you. It could range from one piece of contact information such as an email address to a whole profile of demographic information. If a profile of demographic information was provided, the purpose and parameters surrounding anonymity are addressed in the reporting section below.
What personal information is not collected
Beyond Feedback does not collect sensitive data such as credit card numbers or government identification numbers, nor does it collect information defined as sensitive personal data under EU law, such as race, sexual orientation, or union membership.
Reporting
Beyond Feedback provides reporting of the feedback to help our clients identify improvements in the customer or employee experience. The feedback that is collected through surveys is presented to clients in data visualization tools and offline reports, indicating patterns in groups of data. The results of the reports are not available to the client if there are fewer than five respondents when the survey was presented to the respondent as anonymous. This level of protection includes any aspect of drilling down and filtering when sorting by demographic elements.
Legal obligation to disclose data
Beyond Feedback will provide data discussed in this notice to any competent law enforcement body, regulatory, government agency, court or other third party where we believe disclosure is necessary (i) as a matter of applicable law or regulation, (ii) to exercise, establish or defend Beyond Feedback’s legal rights, or (iiii) to protect the vital interests of our clients and their employees and respondents, or those of any other person. When requested by legal authorities to disclose personal information, Beyond Feedback will inform the court of various factors justifying confidentiality and respondent anonymity. Beyond Feedback will communicate with the affected client or individual as soon as possible, unless prohibited by law or court order.
Data storage period
Data is retained until the termination of the client’s contract with Beyond Feedback unless earlier deleted or modified per the client’s request.
Security
Beyond Feedback maintains a comprehensive security program with appropriate organizational and technical security practices measures to protect data. All data transmissions are encrypted using TLS 1.2 protocols, and we use certificates issued by SHA 256 based CA ensuring that our users have secure connections from their browsers to our service.
Opt out and withdrawal of consent
Beyond Feedback offers an opt-out mechanism on each survey email. Respondents who exercise an opt-out will be removed from all further communications as required by applicable law. If you are a respondent who wishes to withdraw your consent from all data processing by a particular Beyond Feedback client, please contact the client.

Beyond Feedback complies with the U.S. - European Union Safe Harbor Framework and the U.S. - Swiss Safe Harbor Framework as set forth by the U.S. Department of Commerce regarding the collection, use, and retention of personal information from European Union member countries and Switzerland.
